EAU CLAIRE DISTRICT LIBRARY
COMMUNITY ROOM POLICY
The Eau Claire District Library Community Meeting Room, like other library spaces, materials and services, exists for the enlightenment, pleasure and general welfare of the citizens of the Eau Claire District Library service area.  The policies and rules set forth herein are designed to serve these purposes and to govern the use of this room.  These tax supported facilities may be used only by groups whose membership is open
to all without restriction on any basis identified as discriminatory in either the Michigan
or Federal civil law statutes.

A donation of $55 is requested to use this room.  If the room is in acceptable condition
after the event, $25 of this amount will be refunded upon return of the key.  The donation must be received in advance of the activity.

The Library does not take responsibility for setting up the room.  Tables and chairs are
available for groups to arrange.  Nothing may be attached to the walls or ceiling.  (i.e. crepe paper or decorations.)

Groups must leave the Community Room as clean and orderly as it was when they arrived.  The room should be left as it was found.  This includes setting up/taking down
of tables and chairs.

Cleanup is the responsibility of the person reserving the room.  Failure to leave the room clean may result in the loss of community room privileges and/or a bill for the clean up.  Please avoid refreshments (such as those containing red dye) that may stain the carpets.  All rubbish must be removed from Library property.

It is the responsibility of the group using the Community Room to pick up the key during normal Library operating hours.  A key may be obtained from the Library not more than one (1) day in advance of the event.  When the meeting ends after normal Library hours, it is the responsibility of the group to lock the outside door and leave the
key in the room.  There will be a $55 fee assessed if the key is not returned to the Library.

Room capacity is considered to be 60 people.

Library functions and programs, such as story hour or the summer reading program, will take precedence over all other use of this room.  The room is reserved on a "first
come, first served" basis.  Generally, groups may request the use of the Community Room no more than one (1) year in advance.

The Library is not responsible for lost or stolen items.

The Library Board reserves the right to approve or deny requests and to limit the frequency and/or duration of scheduled meetings.

The fact that a group is permitted to meet at the Library does not in any way, constitute an endorsement of the groups policies or beliefs by Library staff or Board.

The Library reserves the right to refuse the use of the Community Room to groups having a record of causing noise, acts of vandalism or incitement to riot in either the Library or other public buildings.

Groups are responsible for abiding by all local, State, and Federal laws while on the Library premises.  No alcohol is permitted.  No smoking in the building!  
There is a cigarette butt receptical by the door that may be put outdoors and used.
When function is over, please set the cigarette butt receptical back inside.
  
Any questions arising from policy interpretation, or rule implementation shall be resolved by the Library Board.  The Library Board reserves the right to waive any of these rules as deemed appropriate.

The Library staff is not responsible for taking reservations for events held by groups using the room, or for notifying group members or event participants of cancellation of scheduled activities.

No furniture or equipment may be removed from the premises.

Events are limited to the Community room and bathroom.  Use of the kitchen facility requires an additional fee of $25 and an additional door key.

The Library does not furnish any equipment for food service.  Kitchen use does not include dishes, silverware, other equipment or food that is located there.  The Kitchen may be used for warming food only.  No food preparation is allowed.

Supplies in the drawers or closets are not intended for public use unless permission is
granted in advance.

All groups using the meeting room shall have adequate supervision at all times.

Use of audio-visual equipment must be arranged in advance.  Groups are responsible for providing their own operator.
