Windsor Park
Architectural Change Request Procedure
Effective June 1, 2005
An Architectural Change Request form must be submitted
for all changes or additions to the grounds around your unit
or to the exterior of your condominium unit at Windsor Park.
Please review the following procedures:
a) Obtain an Architectural Change Request form from the
Westbrook Village Administration Office located at 19281 North
Westbrook Parkway. The hours of the Administration Office are
Monday thru Friday, between 8:00 a.m. - 4:30 p.m., phone number
- (623) 561-0099.
b) Complete the form and all additional requested documents.
c) Submit the form, along with one additional copy of each
document to the Windsor Park Board of Directors.
d) The Board will review the Architectural Change Request
at the next scheduled Board meeting.
1) If the Request form is approved:
a) At least two Board Members must sign the form.
b) The original Architectural Change Request and all original
documentation will be returned to the homeowner by the Board.
c) The homeowner is responsible for submitting the signed Architectural
Change Request form and documentation to Westbrook Village.
d) The approved Request will be documented in the Windsor Park
Board meeting minutes, and a letter will be sent to the homeowner
from the property manager to confirm the decision of the Board.
2) If the Request form is not approved:
a) No Board Members will sign the Request form.
b) The original Architectural Change Request and all original
documentation will be returned to the homeowner by the Board.
c) The declined Request will be documented in the Windsor Park
Board meeting minutes, and a letter will be sent to the homeowner
from the property manager to confirm the decision of the Board.
e) After receiving approval from both Windsor Park and
Westbrook Village, the homeowner may begin the project.
f) NOTE: In order to expedite the procedure when a Board
meeting is not scheduled within two weeks of receiving the Request,
the Board may be polled to determine if there is a majority of
Board Members to provide sufficient approval for the Architectural
Change Request. If so, the Request must be signed by three Board
Members.
g) NOTE: Some Architectural Change Requests may require
a vote of the Membership of Windsor Park Condominium Association.
In this case, the Membership must vote by Mail-in Ballot to
approve or decline the Request. If the Request is made within
60 days of mailing the ballot for the Annual Members Meeting,
the Request may be included as an item on that particular ballot.
The result of the vote of the Membership must be documented
and signed by the Secretary of the Board, either in the Annual
Members Meeting Minutes or by separate documentation. The homeowner
will be provided a copy of the documentation. If the Membership
approves the Architectural Change Request, the homeowner will
then submit the Request and documentation to Westbrook Village.
